Kickserv is your Service Management Software built to help you simplify, organize and run your business more effectively.
Quickbooks is your Accounting Platform built to help with back-office functions like bookkeeping, bill management, taxes, etc.
They are designed to work together – with Invoices and Payments being the overlap.
Therefore, we developed our integration to have a two-way sync for invoice and payments – which earned us best-in-class Gold Developer Status from Quickbooks. This means if you create an invoice or payment in Kickserv, it will also create that invoice or payment in Quickbooks, and vice versa. Your Customer List and Items List will be also pulled into Kickserv from Quickbooks, so you’ll have them from day 1 of your subscription.
Let’s go over some best practices and the most asks questions…
Almost all customers use KS to create and send their invoices.
Every invoice you create will be synced into QBs.
Any edits you make in QB will overwrite KS data.
For your reference, Kickserv #s will be shown as a note within the Invoice.
Kickserv #s get created sequentially and can be edited.
From the Invoice Tab within KS you can see what invoices have been sent, viewed, signed, and more.
Customers will be able to see and pay their invoices online. They’ll also be able to see their complete service history and even request more service.
You can document payments inside KS or inside QB.
Have a company policy on if you’ll document payments in KS or in QB to avoid errors such as dual entry of a payment.
Kickserv allows you to documents payments from any source, but the best way to secure payment is by setting up Online Payments within Kickserv.
Online Payments will automatically apply to the invoice. Customers will be able to pay online and your team can accept payments from the office or in the field from the mobile app.
From the Integrations Tab, select Online Payments, and follow the instructions to set up your Stripe Account – it’s free and only takes about 10 minutes. This is the best way to automate payment collection.
You can also document manual payments in Kickserv from literally any other source.
OR, To make things simple, since payments sync both ways, you can still collect payments the same way you currently do in QB. As you learn KS you can add online payments and begin tracking payments in KS.
The sync will also pull your Items List in from Quickbooks, so you’ll immediately have all your items within Kickserv. If you want to make changes to your items list, do it in Quickbooks. However, you can always tailor item descriptions, amounts, quantity and pricing for any item as needed on the job.
Customers / Contacts
The sync will also pull in your Customer List and save them into the Contacts tab. Use Kickserv as your primary Customer Database and CRM.
At anytime, reference the Quickbooks Tab to Review, Approve, and see your Sync History
